    Why we moved?
Because the PM was used to Jira, and insisted we needed mobile apps and real-time push notification for task updates! Nobody likes Jira and push notifications. We regret switching, but it's now too hard to switch back to Taiga.

    Why not OpenProject?
Because of their pricing which is in fact cheaper than Jira now, but you know.. everyone is now on Jira. 🤷

    Why not Gitlab?
Because we use Gitea. Gitlab randomly crashed and needed too much memory to run. Also we failed to migrate hundreds of repos from Gitea to Gitlab, so there's no point of using Gitlab only for project management.

@nj Fair enough, we've been slowly moving from GitLab to Gitea + Drone. I hear you on push notifications & mobile apps, we live without them, happily šŸ™‚

Funny how so many of these apps rely on that one noisy person that insists that their app is best, and it being easier to burn a business than migrate tools. Data and process lock-in is my nemesis. 🤠

@marcusquinn Applications ought to be designed to protect the user's attention. Most social-media appliactions do quite the reverse. Perhaps this is the case with Project Management tools, too.

@LoudLemur They often end up becoming more entertainment tools for management, because those are the internal influencers charged with squeezing as much as possible the doers.

One day I'll write agile project management. I've build the essence of it into EspoCRM in every area, and it works amazingly well for almost zero staff training. Simplicity take extreme determination though, as people naturally feel complexity justifies ongoing work.

You hit the nail on the head though, the vast majority of project management is removing distractions, and stopping people from distracting themselves with the unnecessary. I see the most brilliant people can become the worst at it too.

@jdaviescoates Productivity hack: change your phone accessibility settings to greyscale. Much less alluring to keep checking it.

@marcusquinn I have pretty much all my notifications completely turned off, but yeah, that's a good tip šŸ™‚

It's the pinging and vibrating my wife's does all the time that gets me. I don't understand how it doesn't drive her mad too! But she doesn't understand how I can tolerate so much mess either, so there you are! šŸ˜†

Hi. Great to read about your experiences. Thanks for sharing.

I tested Taiga, Leantime, Wekan and many more open source project management tools.

We're a small non profit organisation from Germany. Our people work pro bono (without payment) in their free time.

Although Taiga, Leantime and Wekan seem to have the feature to notify people via email when their task due date is reached, that didn't work when we tested it. It's a feature we need since most of our people don't regularly open their project management tool.

Vikunja was the only solution that had that feature.
I also tested: Gitlab, Github, Kanboard, NextCloud Deck, FOCALBOARD, Mattermost Playbooks, Odoo, Planka and Trello.

Do you know a free project management tool that has those mentioned email notifications?

@marcusquinn thank you for that recommendation. I'm testing EspoCRM. It has a lot of features. Unfortunately the feature of the email notifications can't be tested in the trial version. So you use it? Do email notifications work?

@jdaviescoates Yes, I test the trial version at www.espocrm.com. I don't use Cloudron right now. We need a project management software that has the feature to notify people via email if their tasks reach the due date. EspoCRM seems to be the only one here at Cloudron. Many project management softwares lack this feature. It's working in Vikunja but that's not available in Cloudron. We now have to decide if we use EspoCRM and Cloudron or if we choose another service like Cloudron. As far as I know there's no other service like Cloudron that is easy to handle for people that don't have much knowledge in IT.

@jdaviescoates @Stefan It most definitely is. It's the one I use. My projects tend to be non-software dev and more planning step by step over longer periods of time. I also use it as a sort of diary or journal, keeping track of the state of my ideas or small projects. The email notifications work absolutely fine. Just my 2 cents:

Open Project - too ancient looking with very severe Gantt charts that my Kindergarten teacher would adore
Taiga - too much buffer around all the visual elements; it looks great but is distracting
Redmine - any day a ruby is gonna bust and it all falls apart; also looks like OP
Gitlab - I don't dev, so I don't need what its best at
WeKan - too simplistic looking, not inspiring
NextCloud Deck - well, if NC wouldn't keep crapping out and dying on me, maybe it could be the winner, but it has just proven to be too unreliable
EspoCRM - every time I've tried it I feel like I'm doing brain surgery on the brain/hive mind of The Borg, and it scares me and creeps me out.

That leaves Vikunja. It looks great. Easily and wonderfully adaptable in appearance and layout. Sends emails. MAKES me want to use it. Winner.

A life lived in fear is a life half-lived

@Gengar et al, Vikunja looks amazing but how do you do time tracking with it? That's literally the only thing I'd need it to do (ie track time) and it would appear to be perfect for us.

Doesn't look like it supports that yet although some people have various work arounds using n8n etc if you look in their forum.

I use Cloudron with Gandi & Hetzner
